The Main Office Secretary provides administrative support to ensure the efficient operation of the main office in a combined middle and high school setting. This role requires excellent communication, organizational, and multitasking skills to serve students, staff, families, and the community with professionalism and confidentiality.
Manage phone communications: screen and direct calls, take messages, and provide accurate information.
Maintain the daily operations of the main office, including mail distribution, filing, record-keeping, and ordering supplies.
Prepare and distribute school-wide communications, memos, and announcements.
Coordinate and maintain the principal’s calendar, including appointments, meetings, and room scheduling.
Maintain accurate student records and ensure compliance with FERPA and district policies.
Assist with report cards, scheduling, and transcript requests.
Handle sensitive matters with discretion, tact, and professionalism.
Support school event planning, communications, and logistics (e.g., open house, parent-teacher conferences).
Assist with emergency drills, safety protocols, and the coordination of substitute coverage.
Collaborate with custodial staff for operational needs of the building.
High school diploma or equivalent.
Proficiency with Microsoft Office Suite and/or Google Workspace.
Strong written and verbal communication skills.
Ability to multitask and maintain composure in a fast-paced environment.
Excellent organizational and time-management abilities.
Prior school office or secretarial experience.
Familiarity with student information systems (e.g., SchoolTool).
Working knowledge of FERPA, attendance policies, and school safety procedures.
